What we do

Monthly bookkeeping is a rhythm rather than a task. The same work happens on the same schedule, the month gets closed, and the report arrives. What that buys is not tidiness. It is that every question you have during the year already has an answer, instead of needing a week of reconstruction first.

Each month we record what came in and what went out, categorise it properly, reconcile every bank and credit card account against the real statement, and keep payables and receivables current. Then the month closes and a report comes to you, with a short note if something needs a decision. Where a transaction needs context only you have, we ask one clear question rather than guessing and moving on.

The difference between this and glancing at a bank balance is the difference between what cleared and what you actually earned. A balance is a number. A closed month is a position.

What monthly bookkeeping includes

The full scope, in plain terms. Ask about any one of these on its own or all of them together.

A set close date

The month finishes on a schedule you can plan around, not whenever somebody gets to it.

Transactions recorded and categorised

Every entry lands in the right account, so the report is describing the business rather than the bank feed.

Bank and credit card reconciliation

Each account matched to its statement every month, which is where duplicates and missing entries surface early.

Payables and receivables kept current

What you owe and what you are owed, visible in time to do something about either.

A monthly report package

Statements in plain terms, at an interval that matches how you actually make decisions.

One clear question, not a guess

When a transaction needs context only you have, we ask. Guessing is how a small error becomes a permanent one.

Everything through the client portal

Statements and documents move securely, so nothing depends on a drive across town or a lost email.

How it works

The first month is different from the ones after it. We look at the file, the chart of accounts and the state of the last reconciliation, and we find out how far back the reliable figures go. If there is cleanup or catch-up to do, that happens first and we tell you what it involves before starting it.

Once the file is sound, the monthly pattern begins. You send or connect the statements, we record, categorise and reconcile, and the month closes on the agreed date. The report comes to you with anything that needs attention flagged at the top rather than buried on page four. If a question comes up in between, you call (252) 916-3278 and ask it.

Who monthly bookkeeping is for

  • Owners who dread opening the accounting software
  • Businesses that only see real numbers once a year at tax time
  • Anyone reconciling at midnight on the last Sunday of the month
  • Businesses whose file was set up by someone who has since left
  • Owners about to apply for finance and short of statements
  • Churches and nonprofits that owe a board a report every month

Why the books fall behind, and what the delay actually costs

Nobody decides to fall behind. The work has to get done, a customer is waiting, and last month's reconciliation can wait until next week. Next week brings its own urgency. By the time anyone looks up properly, the file is a quarter behind and opening it is the least appealing thing available.

The cost is not the cleanup, which is finite and fixable. It is every decision made in the meantime without real numbers. Whether a slow month is a blip or a pattern, whether there is room to hire, which work is actually carrying the business: those questions have answers, sitting unreconciled in a bank feed. Closing every month keeps the answers ready for the moment somebody needs one.

A bank balance is not a position

The balance tells you what has cleared. It does not tell you what you have earned, what you still owe, what is owed to you, or how much of that figure is tax collected on somebody else's behalf and merely passing through.

A business run from the balance therefore feels flush in the week after a large payment lands and anxious in the week before a quarterly bill. Neither feeling corresponds to how the business is doing. A closed month replaces the feeling with a position: a profit and loss you can compare to the same month last year, a balance sheet that reflects reality, and a record that holds up when a lender, the IRS or the North Carolina Department of Revenue asks a question.

Monthly Bookkeeping FAQs

What does closing the month actually mean?

It means the month is final: every transaction is recorded in the right account, every bank and card account matches its statement, and the report reflects what happened rather than what has cleared so far. Nothing after that gets rewritten behind your back.

How soon after month end do I get the report?

On an agreed close date each month, so you can plan around it. The date depends on how quickly statements become available for your accounts, and we set it with you at the start rather than leaving it open.

What do you need from me each month?

Access to the bank and card statements, payroll records if you have staff, and an answer when we ask about a transaction only you can explain. That last part is usually a few minutes.

We are months behind. Can we still start monthly?

Yes, but the catch-up comes first. We bring the file up to date and reconcile it against the real statements, then the monthly rhythm starts from figures that are actually correct.

Could we do this quarterly instead?

Some businesses can, and if yours genuinely only needs a quarterly view we will say so. The catch is that a problem found in a quarterly close is already up to three months old, and by then the cause is harder to trace.
